Job Description:

This position will be based on our campus in Cambridge, MA. However, due to the COVID-19 pandemic this position will be remote until further notice.

Alumni Affairs and Development (AA&D)--comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

Harvard Alumni Association (HAA)
The HAA is the official association for all of Harvard University's alumni. The HAA is responsible for University-wide alumni initiatives and works with all Harvard Schools, including the FAS, to increase alumni engagement. The HAA is also the home of the Harvard and Radcliffe College Alumni Programs Office. The HAA supports a global network of volunteers who organize alumni through Harvard Clubs, Shared Interest Groups, college classes, and graduate and professional School organizations.

Reporting to an Associate Director of College Alumni Programs , the Coordinator performs a variety of tasks to support Harvard College alumni engagement and student-alumni engagement in a fast-paced, highly visible environment. Supports an expanding program of alumni and student-alumni engagement endeavors including First-Year Convocation, Class Color Connect, Class Families, the Midyear Graduates Recognition Ceremony, the Public Interested Conference, Networking 101, Senior Brunch, Welcome to Your City, Senior Week, Class Day and Commencement, the annual meeting of the Association of Harvard College Class Secretaries and Treasurers, and lifecycle and class engagement activities for alumni ranging from recent graduates to the eldest alumni. Job-Specific Responsibilities

  • In partnership with other staff, supports the work of the non-Reunion College classes, including communications, events, leadership support, and meetings.
  • Supports the Associate Director with supporting student and recent graduate volunteers and committees, including the senior Class Committee, the Student-Alumni Engagement Committee, and the Recent Graduate Engagement Committee.
  • Supports the Director of College Alumni Programs in supporting the Association of Harvard College Class Secretaries and Treasurers, including the annual meeting, annual reporting, monthly necrology reports, the Quill and Key newsletter, onboarding and training new members, and meetings of the Executive Committee.
  • Supports the Director of College Alumni Programs in supporting the Crimson Society Planning Committee and assisting with the execution of Crimson Society programming.
  • Provides volunteer training associated with class websites and email tool.
  • Provides reporting and volunteer training for HAA-facilitated in-house accounting.
  • Assists class volunteers with the creation and deployment of class print and email newsletters
  • Coordinates operations for various College Alumni Programs events and programming.
  • Maintains the Officers Lounge volunteer resources website.
  • Assists staff and volunteers with the management of class Zoom licenses.
  • Facilitates communications between the College Alumni Programs team, volunteers, and various University departments,-- working closely with colleagues throughout Alumni Affairs and Development, Harvard College, and the University. --
  • Functions as a front-line customer service agent and general information source, staying informed of activity and programs of College Alumni Programs, the HAA, and Harvard College.
  • Creates and deploys broadcast communications and web content, in partnership with alumni volunteers and staff , utilizing expertise across various platforms. --
  • Collects and maintains data related to alumni and student communication, participation and volunteerism.
  • Performs general administrative duties to support the function of the office including answering phones, monitoring shared email accounts, maintaining files and databases, tracking registrations, and preparing correspondence. --
  • Contributes to the team's alumni engagement goals by assisting the department in special projects, including some Reunions projects as needed, and accomplishing related duties as required.
  • Other duties as needed or required.
  • Will be required to work additional evening and weekend hours. Basic Qualifications
    • Minimum of 2--years' full-time related work experience.
    • Must have excellent writing skills, including grammar, spelling, and punctuation.
    • Proficiency with MS Office required.
    • Capability to master new software applications and technologies required. Additional Qualifications and Skills
      • Bachelor's degree at an accredited university preferred.
      • Proven ability to conscientiously manage multiple tasks with attention to detail simultaneously under deadline pressure with accuracy, efficiency, and humor.
      • Familiarity with alumni or university administration or related transferable experience preferred.
      • Experience with CRM software, basic HTML and Adobe Creative Suite a plus.
      • Strong interpersonal and communication skills and ability to work harmoniously with alumni, students, colleagues, faculty, administrators, and vendors.
      • Ability to handle complex and confidential information with discretion.--
      • Ability to work additional evening and weekend hours. Additional Information This position requires a 3 month orientation and review period.--
