Job Description:

The position provides comprehensive project coordination and support in areas, including, but not limited to: calendar and meeting facilitation; project support; domestic and international travel coordination; expense reconciliation; general executive support; divisional and other duties.PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.1.Calendar & Meeting Facilitation (25%)a.Plans, manages, and facilitates meetings, seminars, and conferences. Specific responsibilities include:i.Obtaining and organizing planning informationii.Receiving appropriate approvalsiii.Reserving location(s) and ordering A/V, food services, etc.iv.Preparing agendas, schedules, syllabi, and/or teaching materialsv.Coordinating attendance and communicationvi.Managing other items, including budgets, as necessary2.Project Support (15%)i.Provides project support on new and on-going initiativesii.Maintains confidentiality of information that is sensitive in nature while ensuring that project goals are achievediii.Manages the day to day operational aspects of the scope of the projectiv.Takes ownership of projects under the direction of the Administrative Directorv.Makes decisions and executes on project assignments based on knowledge of practice operations and through research and collaboration3.Domestic and International Travel Coordination (10%)i.Prepares domestic and international travel arrangementsii.Corresponds with sponsoring institutions and societiesiii.Prepares itineraries4.Expense Reporting (10%)i.Monitors and reconciles Administrative Directors expensesii.Collects, organizes and prepares information for submission of domestic and international travel and other expense reimbursements5.Executive Support (25%)i.Answers, screens and routes telephone calls in a timely municates with Division and Departmental leadership under the direction of the Administrative Directoriii.Greets and directs patients and visitorsiv.Responds to requests for routine information or assistance within scope of poses routine and advanced pletes standardized and non-standardized formsvii.Maintains files and confidential record keeping systemsviii.Opens and sorts mailix.Photocopies, sorts, collates and distributes documents, as required6.Divisional & Other Duties (15%)i.Attends team meetings as required and contributes in a positive mannerii.Supports Division initiatives as they are implementediii.Seeks improvement opportunities throughout Divisioniv.Performs other duties, as assignedQualifications:Bachelors Degree required.Minimum two years relevant work experience preferred.Ability and skills necessary to fulfill above requirements.Excellent customer service skills required.Please email your resume to for immediate consideration.
