Supervise day-to-day financial operations for a department/unit.

Job-Specific Responsibilities

HUECU is seeking a dynamic, energetic employee with outstanding communications skills and a passion for member service! Our ideal candidate will focus on providing an exceptional member experience in all member touch-points, in-person, phone interactions and digital communications.

Job specific duties:

Manage the Deposit Operations department and supervise a staff of eight employees. Provide leadership with an emphasis on professional development and team building, while maintaining a positive work environment.

Responsible for the hiring process, coaching, discipline and termination of staff.

Responsible for daily posting of ACH, Inclearing files and working the exception lists, pay/no pay decisions, posting to accounts, balancing files, and abiding by National Automated Clearing House Association rules. Obtain and remain current with ACH timeframes and regulations, as well as returned item processes. Assure adherence to all ACH rules and regulations.

Responsible for maintaining controls, procedures, processes and training to ensure efficient operations while managing risk. Develop, implement, and monitor process of instituting regulatory requirements as it affects policy and procedures including, but not limited to disclosures, advertising, and products. Ensure compliance with banking regulations.

Collaborate with other departments on projects, upgrades, training and resolving problems and/or concerns. Provide problem resolution with members and staff to research and resolve escalated complex issues/problems.

Responsible for the compliance and daily operations of the ODP program.

Maintain a relationship with vendors to facilitate achievement of our business goals including JMFA, IRA Ascensus, Statement Advantage and MoneyGram.

Responsible for opening IRA accounts, transfers, rollovers, death claims, and required minimum distributions on a monthly and annual basis. Resolve issues and counsel staff and members with requests within the scope of job responsibilities.

Responsible for ensuring timely mailing of various member notices including address change letters, certificate maturity notices, RMD notices, tax forms, etc. Manages interoffice and US mail.

Responsible for accurate tax reporting on all deposit products.

Work with Collections to charge off deposit accounts.

Coordinate with other departments to maintain data integrity in the core system.

Responsible for unclaimed property and escheatment process, including ensuring the process meets all regulations, research of escheated accounts and coordination of outreach to member or agent prior to escheatment to the state and coordination of the escheatment process with Business Applications.

Responsible for overseeing Student Organizations accounts and relationship with the Credit Union in conjunction with the Community Engagement team including collaborating with internal departments, maintaining procedures and interactions with school representatives.

Responsible for CO-OP Shared Branching procedures, balancing, adjustments, fraud investigation and reporting, notifying branches of any issues or procedural changes, and compliance to all associated regulations.

Prepare metric reports as required to meet compliance requirements or as requested by senior management. Prepare and ensure accuracy of periodic ACH board reports.

Prepare for, and participate in, all audits including Massachusetts Division of Banks, NCUA, CUNA Mutual, NEACH, and accounting firms contracted by the Credit Union. Responsible for auditing which includes member data changes, IRA transactions and new accounts.

Responsible for balancing and monitoring of related G/L accounts. Work with Accounting to resolve problems or outstanding entries, including ACH, Checking, and Shared Branching and Money Orders.

Identifie and implement electronic and/or automated work processes, products and services to reduce operating expenses and provide a better member experience.

Typical Core Duties

Responsible for effective staff management for a group or team of employees, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment

Manage financial operations and projects for functions, which may include payroll, procurement, accounts payable and receivable

Serve as the principal source of information on financial policies and procedures and provide guidance to faculty, staff and students

Collaborate with the department's leadership and managers on departmental financial operations

Assist in developing departmental financial policies and procedures

Monitor activities and provide periodic reports on budgets, expenses and compliance regulations for funding

Responsible for analysis and forecasting of budgets and long-term financial plans

Train administrators and support staff on the department's financial systems

Ensure financial compliance with University policies and procedures and applicable legal rules and regulations

Basic Qualifications

Bachelor’s degree or equivalent work experience required

Minimum of 3 years’ relevant work experience

Additional Qualifications

The ability to effectively communicate with technical and non-technical staff at all levels of the organization.

Supervisory experience required.

A solid understanding of state and federal banking statutes and compliance requirements.

Accredited ACH Professional (AAP) Certification and National Check Professional (NCP) Certification preferred.

Excellent leadership, planning, interpersonal and communication skills.

Highly motivated and able to work with a high degree of autonomy.

Comfort working and engaging in a diverse and multicultural environment. Knowledge of Microsoft Office Suite, intermediate excel skills

Physical Requirements

• Ability to move freely (standing, stooping, walking, bending, pushing and pulling) and lift up to a maximum of twenty-five (25) pounds without assistance.

• Must be able to sit for extended periods of time.
