Job Description:
Location:Secaucus, New Jersey Job Summary: The Head of Payroll
will supervise specialized key control/regulatory functions of the
Payroll Department, including but not limited to the oversight of
running of biweekly payroll processing for US, Puerto Rico, and
Canada, garnishment functions, payroll tax (period, quarterly, and
year-end) processes, and payroll account reconciliations. This
position requires extensive knowledge of payroll compliance laws
and practices across multiple states and local jurisdictions using
Workday Payroll. This position will serve as the escalation point
of contact for critical payroll services and operations issues.
Responsibilities: Key Accountabilities:
- Manage the Payroll Team to ensure successful completion of
biweekly payroll jobs and GL postings for US, Puerto Rico, and
Canada biweekly payrolls
- Supervise and participate in performing internal payroll tax
reconciliation and reporting processes and monitor the activities
and delivery of services from the company's outsourced payroll tax
vendor
- Participate in monthly compliance meetings and ensure all
payroll systems are updated in accordance with local laws
- Guide the Payroll Team on tax adjustments required for year-end
balancing of employee and company wages
- Review and audit tax and wage variances identified on tax
vendor's quarterly and annual edit reports and work with account
representative for resolution
- Perform ongoing audits to ensure employee taxable wages and
withholdings are accurately reported on quarterly and annual
returns, and employee W-2 and T-4 forms
- Oversee the process in applying and testing tax upgrades,
staying abreast of all tax law changes
- Manage year-end payroll tax reconciliations and W-2 and T-4
edits and coordinate with all outsourced tax vendors as well as the
outsourced W-2 and T-4 print service provider
- Compile information to satisfy internal/external payroll tax
audit requests and ensure SOX compliance is met on a weekly,
monthly, and quarterly basis.
- Work with the accounting department to review monthly account
reconciliations for payroll related balance sheet and expense
accounts
- Develop metrics to measure customer satisfaction, timecard
non-compliance, repeat inquiries, and a variety of other necessary
areas which require analysis
- Identify and recommend solutions to problems that affect the
team's service, efficiency, and productivity
- Partner and build positive relationships with business partners
and manage corporate and field communications
- Manage system upgrades and updates, including planning,
testing, and implementation while updating existing SOPs as
necessary and training those who are impactedEducation and
Experience:
- Bachelor's degree in human resources, business, or related
field or commensurate experience
- 8+ years of experience in payroll
- Experience working with Workday HR/Payroll and Kronos
timekeeping in a high volume environment. (10,000+
associates/multi-state payroll)
- Experience in a supervisory role
- Experience working with payroll tax software or outside payroll
tax service Skills and Behaviors:
- Highly proficiency in Excel (vlookups, pivot tables) as well as
the rest of the Microsoft Office suite
- Excellent customer service skills
- Knowledge of payroll compliance laws and practices
- Exceptional analytical, problem solving and payroll technical
skills
- Strong knowledge of payroll and tax compliance laws and
regulations
- Knowledge of accounting principles to perform/supervise the
preparation of payroll account reconciliations
- Excellent organizational and multi-tasking skills
- Ability to handle multiple projects and meet deadlines in a
