This is not your typical calendar management and travel scheduling EA role; it has significant HR related responsibilities as well as key roles in projects. You have to be an effective communicator and skilled at delivering high quality results in a timely manner, in addition to being confident in your abilities to engage at all levels internally and externally, while navigating a highly matrixed organization.
In this position, you will bring your knowledge and expertise of concepts, practices, and procedures related to the role of an Executive Assistant and to HR Project coordination. This position can lead to numerous future career opportunities, either in a career as an Executive Administrator or further move into HR or project types of roles within Philips.

You are responsible for

Perform pro-actively and independently the full range of executive administrative tasks which involves a very high level of responsibility and are of a confidential nature (calendar management, meetings, plan video/conferences, etc.).
Make independent decisions, while being responsible for the decisions made.
Maintain a complex multi-faceted set of priorities, deadlines, and time management calendar and schedule, providing outstanding support to HR, the business, and our employees
Representing this critical position for so many as welcoming, supportive, yet will be clear, concise, and firm when navigating the path forward
Aligning activities and processes with the demands of the executive or department.
Organize, coordinate and host meetings and events including pre-meeting setup, communicating agenda, note taking, tracking and follow up on identified action items.
Actively participates as a member of the team, sharing ideas, and contributes in the success of a highly effective team.
Strong oral and written communications skills to create e-mails and announcements, as well as working closely with the Communication team
Navigate complex and detailed travel plans, itineraries, and documents for travel-related meetings (both domestic and international) and process related expense reports.
Serve as a point of contact for team members and internal departments; respond to basic HR questions and inquires, both written and verbal.
Assist in the preparation of the HR budget.
Administer the Employee Recognition program.
Collaborate and coordinate with other Executive Assistants globally and across North America, sharing knowledge with a continuous focus on improvements in purpose of tools, processes, and approaches with others
Responsible for Onboarding and offboarding team members
Responsible for the department procurement cards and purchase orders processing
Deal with sensitive, complex and highly confidential projects and information
Project coordination, including partnering internally or externally to drive meeting strategies and logistics on varied projects
Actively supporting organizational changes, development, and internal projects
Creating business reports (monthly, quarterly, etc..)
Seek out opportunities to challenge yourself and others; finding new ways to positively affect the team, the customer, and the business
Escalate items as needed to management, collaborating to drive solutions

You are part of

Reporting into the Head of HR - North America, this lead will be performing project and administrative responsibilities requiring excellent judgment and discretion, supporting our Employee Engagement program, including program management and analytic support.

To succeed in this role,

youll need a customer-first attitude and the following

5+ years experience in an executive assistant or project coordinator role in a dynamic and global environment experience in HR is a plus!
Superb written and verbal communication skills for daily interaction with employees and leadership.
Excellent knowledge of administrative procedures; Highly Proficient with Microsoft Office Suite, Workday and Concur with ability to learn new tools
Must be dependable, hold confidentiality and possess discretion!
Ability to exercise discretion and apply good judgement in making decision, work independently and as part of a team.
Ability and willingness to take initiative and influence positive outcomes.
Pro-active problem preventer who takes initiative and makes independent decisions.
A creative person, capable of generating fresh ideas in the interest of finding new possibilities.
Motivated, Detail-oriented, and structured, with meticulous organizational skills, knows how to set priorities under high pressure
Superb written and verbal communication skills for daily interaction with employees and leadership ; Strong interpersonal skills, must be able to work well with people from a variety of backgrounds and disciplines, e.g. technical, business, administration.
Able to prioritize multiple projects and job responsibilities with competing deadlines (organizational/time management skills)
Experience working in a large, global company strongly preferred; ability to deal with different time zones, currencies, work practices and schedules, and cultural differences
Able to perform a variety of job tasks simultaneously; flexible to changing priorities and demands, as needed
Strong workload management and problem-solving skills. Must be able to balance workload, including short-range issues and long-term planning.
Proven ability to use good judgment and make confident decisions under defined policies and procedures
Ability to work under minimal supervision on day-to-day activities, maintaining a high degree of integrity
Associate degree required, Bachelors degree preferred.
