Assistant to Faculty Director and Events CoordinatorFaculty of
Arts and Sciences61488BRJob SummaryThe Reischauer Institute of
Japanese Studies seeks a highly motivated, detail-oriented
professional to join its administrative team. Under the supervision
of the Associate Director, works in close cooperation with the
7-person Institute staff. -Position DescriptionWorks closely with
the administrative leadership to coordinate the day-to-day
operations of the Reischauer Institute of Japanese Studies. Primary
responsibility includes support to the faculty director, event
coordination, and frontline office duties. Faculty support includes
handling calendar and correspondence, making travel/lodging
arrangements, and processing financial transactions. Assistance
will also entail preparing translations and materials/research
reports for meetings.
Event coordination includes planning, executing, and publicizing
Institute events, including its weekly lecture series, various
workshops, symposia, study group gatherings, film screenings,
gallery shows, and other special events. Duties involve scheduling
post-event receptions and related gatherings, coordinating guest
lists and catering. Responsible for communication and publicizing
events via email, web, or other social media channels. Frontline
responsibilities involve welcoming visitors, responding to general
inquiries, and supporting administrative projects. Performs other
duties as required. Occasional overtime required.Basic
Qualifications3+ years of administrative experience. Education may
count towards experience. -
-Additional Qualifications and SkillsBachelor's degree with a
concentration in East Asian Studies or Japanese Studies strongly
preferred. Excellent writing, organizational, and communication
skills are essential. Prior event management experience or
experience working in a busy office environment a plus. Applicant
must be familiar with computers, desktop publishing and
presentation programs across platforms. Ability to coordinate
multiple tasks while meeting deadlines an asset. Ideal candidate
would have cross-cultural experiences and/or experiences
working/studying abroad. Knowledge of Japan and Japanese very
strongly preferred.
-Working ConditionsOccasional overtime required.
