Job Description:

Reporting to the Head of Enterprise Operations, this role will help provide strategic, planning, and operational support to all enterprise-level activities for a leading and highly prestigious medical research institute based in Boston. S/he must be a highly collaborative team player who fosters open communication and facilitates mutual understanding and cooperation between all stakeholders.

A summary of responsibilities includes the following:

  • Developing, maintaining, and owning the enterprise strategy and vision collaborating with the leadership team, functional leadership, the Board of Directors and appropriate executive leadership
  • Accountability for all strategies that are related to or under the umbrella of the Enterprise strategy including but not limited to IT Strategy, Functional Strategies, Organization Strategy and Operations Strategy. Where required, s/he will be responsible for the delivery and maintenance of these strategies ensuring cohesiveness and consistency in the approach taken to develop and implement these strategies
  • Collaborating closely with the Head of Finance, Head of Enterprise Operations and Head of Strategic Sourcing on all financial planning activities ensuring that the enterprise strategy and its goals are being reflected in the fiscal decisions and spend of the organization
  • Identifying and prioritizing key enterprise projects related to both the operations and R&D
  • Monitor all portfolio and operations related activities and lead joint teams in resolving issues regarding effective communication, conflict, or role clarification. Pro-actively anticipate risks and needs and determine the optimal solution
  • Implementing and embedding best practice approaches, standards, and frameworks across the enterprise and providing subject matter expertise to the internal operations, IT and Data teams on the information that is required for effective decision making for leadership
  • In Collaboration with the Head of Compliance and risk management, identifying, managing, and mitigating for risks across the enterprise ensuring that appropriate mitigation plans are in place for all risks within the organization including strategic, financial, operations and research related risks
  • Communicating strategy and plans effectively, clearly, and consistently throughout the organization
  • Ensuring appropriate KPIs, SLA and metrics are in place to measure the performance of the organization and the progress against our strategies and plans
  • Ownership and oversight of operations and IT projects and initiatives
  • Evaluating, designing, and implementing enterprise processes to ensure the effective and efficient running of enterprise operations
  • Ensuring the core mantras are represented in our strategies and that the organization, its functions and people are constantly innovating and improving to ensure the successful execution of our mission
  • Driving and managing change by bringing leadership and organization through transformation initiatives and projects
  • Working closely with the Leadership team and functional leadership, providing oversight to the overall portfolio including evaluating progress, reporting to senior stakeholders, and tracking resource requirements. He/she will set priorities and re-evaluate as needed, identifying resource gaps and management options (i.e., trade-offs, delays, additional resources).
  • Leading and building content for all corporate planning activities e.g. Long-Range Planning, Resource planning, Board of Directors materials etc.
  • Overseeing technology and IT teams running portfolios of systems and applications implementations and projects
  • Ensuring that the needs of the business and the overall enterprise strategy are reflected within the goals, operations, portfolio, and strategy of the IT organization
  • Driving and designing best in class process and delivery around technical solutions and oversee all system design and architecture
  • Leading the strategy for technology platforms, partnerships and external relationships ensuring that the strategy for IT is reflected in the roadmap
  • Selecting and implementing appropriate technologies to streamline internal operations across the enterprise and evaluating existing technologies and IT processes to advise Leadership on ways to continuously improve the enterprise
  • Creating and owning technology standards and practices ensuring adherence across the organization
  • Directing and organizing strategic IT and technology transformation projects and assessing the costs, value, and risks of IT projects
  • Chair internal portfolio review meetings, develop portfolio level reports to support business and portfolio review meetings
  • Owning enterprise resource planning ensuring that the program strategies and priorities are adequately resourced and aligned across the functions
  • Accountability for portfolio analytics and reporting including the design and implementation of tools to assist the organization and leadership make effective decisions

    Requirements

    The successful candidate will be an innovative and collaborative individual who thrives in a "get it done" type of environment with a strong track record of hands on experience in successful project management with the following mix of personal and professional characteristics:
    • 6+ years' experience in program or portfolio management in biopharmaceutical industry
    • BS/BA in scientific disciple, MBA or consulting experience preferred
    • Experience working in highly matrixed organization with leadership
    • Experience in cross functional strategy development
    • Deep understanding of technology and Information systems
    • Ability to quickly extract key insights from excess data and details
    • Clear and effective communication skills
    • Strong problem-solving skills in order to identify problems, evaluate options and execute solutions
    • Excels in strategy development both short- and long-term
    • Experience leading and owning enterprise planning activities in the Life Sciences Industry or similar e.g. Healthcare
    • Background in finance, IT systems/implementation and strategy
    • Strong interpersonal skills: ability to influence others in a highly matrixed organization
    • Passionate, persistent, and tenacious. Strong ability to prioritize and operate with a sense of urgency
    • Extremely bright with a highly strategic nature but also balanced with a biotech mind-set and a hands-on, roll-up-the-sleeves style that gets things done
    • Trustworthy with highest integrity, committed to ethics and scientific standards
    • Experience in pioneering the start-up of new organizations or functions is a significant plus.
