What will you be doing?. In this highly integral role, you will directly support our CEO, Board of Directors and Head of Corporate Affairs along with the broader Corporate Affairs team: Provide sophisticated calendar management for our CEO, Head of Corporate Affairs and other senior team members using Microsoft Outlook. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Act as a liaison and provide support to the Board of Directors. Arrange and oversee logistics for quarterly Board meetings, committee meetings and associated events, with the inclusion of complex travel arrangements. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and our Head of Corporate Affairs, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Acceleron's culture and organization policy. Schedule weekly functional meetings, corporate breakfasts/lunches and broader monthly meetings for our Corporate teams. Draft and distribute meeting agendas while tracking future agenda items. Develop, compile, and distribute presentation materials. Ensure Corporate Affairs team page on SharePoint page is up to date. Provide extensive travel support, both domestic and international, and oversee related logistics. Pro-actively troubleshoot and address travel conflicts and issues. Oversee conference registrations and detailed itineraries, while tracking individual travel expenditures and preparing and submitting expense reports. Provide event management support as requested, including our annual Executive Committee offsite meeting. Provide hospitality to all guests and help to create a welcoming environment. Other projects/duties as assigned for the overall benefit of the organization. What are we looking for?: Bachelor's Degree and 5-7 years executive support experience, including supporting C-level executives in the biopharma industry. Expert proficiency with Microsoft Office Suite and ability to create and edit presentations and materials. Significant experience with meeting and travel management. Strong verbal and written communication skills and proactive engagement skills. Exceptional organizational skills and impeccable attention to detail. High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, and external stakeholders. Demonstration of excellent judgement to make appropriate, informed decisions regarding priorities and available time. Completion of a high volume of tasks and projects with little or no guidance. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. Able to maintain a high level of integrity and discretion in handling confidential information. Thrive in a fast-paced, do-it-yourself, environment and able to switch gears on a moment's notice.
