As part of our US Administrative Services Center (ASC) in partnership with the Global Talent Acquisition team, you will work directly with hiring managers to shape Lillys future by assisting with the recruiting efforts for a company that makes a positive difference in the world. Working under the US Administrative Services Center (ASC) in partnership with the Global Talent Acquisition group, we provide recruiting support to all US business areas, enabling the attraction, selection and hiring of the right talent with critical capabilities.This assistant will provide support and services to US hiring managers reporting to the Administrative Service Center of Excellence manager. This job description outlines the general nature and level of the work. It is not intended to be an exhaustive list of all responsibilities or skills associated with the position. We anticipate that future process improvements may alter the tasks and services that are provided by this role.Responsibilities: Process interview scheduling transactions including but not limited to the following: 1. Outbound calling and efficiently scheduling interviews and working through general interview management issues relative to specific countries guidelines and within a timely SLA2. Guiding on the interview process3. Supporting and managing a positive candidate experience Provides communication management, schedule management, office management and other supportive duties relative to the department area in which they are assigned. Performing general administrative tasks, such as faxing, photocopying, and filing. Crafting first-draft documents from rough, sketchy information or in response to requests. Preparing basic form letters and other correspondence sent on a regular basis. Editing and proofreading documents for content, style, and accuracy (including technical and/or scientific materials). Compiling data and preparing presentations from handwritten notes using appropriate software packages. Utilize communication systems such as voice mail, e-mail, distribution lists, etc. Answering phones and directing incoming requests and faxes to the appropriate personnel; initiating contacts as required. Preparing materials for distribution and presentation at meetings (make labels, build inserts, etc.) Handling e-mail and voice mail responses on an as needed basis for the business partner(s). Maintaining the daily calendars of one or more department members adding and deleting entries, updating availability, authorizing changes to dates and locations, etc. Communicating daily with the business partner to keep him/her informed of department or other important activities. Arranging travel and scheduling requests for key department members' attendance at outside functions and/or activities. Scheduling ad hoc and/or recurring meetings. Role may require individual to enter/maintain databases, records, and spreadsheets.
