The Deamer Group -is currently in search of a Senior Administrative Assistant for a Pharmaceutical Company in Cambridge, MA. This is a Full-time, permanent position. Please review the full description for details. -Position SummaryThe Senior Administrative Assistant will support the Global Head, Medical Affairs. The position serves as an important member of the company's Senior Medical Leadership Team (SMLT) in maintaining operational efficiency and is a key interface to team members, internal and external contacts, and stakeholders establishing and maintaining the professional impact/impression of the company both externally and internally. -Key Responsibilities

  • Track priority activities for manager in real-time as well as due dates for tasks/action items for completion
  • Prepare communications on the Senior Leader's behalf, draft memos, write, and edit e-mails
  • Includes active role in providing support for global Medical communication plans that strengthen global local engagement as a medical community
  • Provide administrative support:
    • Travel arrangements - coordinate domestic and international travel needs to ensure smooth and efficient itineraries and schedules
    • Calendar management - proactively manage Outlook calendars, resolving schedule conflicts, and prioritizing meetings
    • Expense reports - process expenses accurately and in a timely manner
    • Event management for internal and external stakeholders
    • Track invoices and purchase orders for manager-initiated needs
    • Promote and ensure full adherence to the Code of Ethics and US Supplement as well as applicable federal and state law according to FDA guidelines
    • Foster collaborative relationships with other Administrative Assistants, work together efficiently, facilitating mutual alignment and sharing best practices
    • Work closely with Administrative Assistants of SMLT members for transversal Medical initiatives, including potential to lead cross-administrative initiatives
    • Build and maintain network with Administrative Assistants of other Operating Committee members and key stakeholders for the Medical department
    • Provide support for ad hoc requests related to budget, people processes, contracts and meeting management -Qualifications
      • College degree (preferred) in business, communication, or related discipline
      • A minimum of 10 years previous administrative experience with progressively expanded responsibilities
      • Prior experience supporting Senior Leaders, in a global context
      • Experience working in a technology, pharmaceutical, or biotech company
      • Outstanding oral and written communication skills, including confidence in appropriate use of social media platforms
      • Ability to bring innovation and ideas to enhance the ways of working, priority management
      • Advanced MS Office skills
      • Knowledge of office management systems and procedures
      • Working knowledge of common office intranet tools Concur, Ebuy, Catalyst, Workday and comfortable learning new laptop and web-based systems
      • Proactive problem-solving mindset
      • Ability to manage multiple conflicting priorities in a fast-paced and demanding environment and ensure smooth and efficient flow of day-to-day operations
      • Strong organizational skills
      • Detail oriented with excellent follow up skills
      • Ability to interact with all levels of the company's organization including the most senior management
      • Ability to work independently and as part of a team
