A top Pharmaceutical company in Boston is looking to hire an administrative assistant to join their Early Development department. Apply today! Early Development Coordinator - Contractor Overview:The Early Development Coordinator will provides support to proactively facilitate the smooth flow of business activities in a fast paced and dynamic environment for leaders across the Early Development as well Research Departments. Summary of Key Responsibilities --- Support department or scientific meetings, including but not limited to organizing and sending meeting agendas, taking meeting minutes, filing all meeting documents in electronic form, and event planning. --- Assist with the complex scheduling and support of group meetings and seminars when senior leaders or external guests are present. --- Liase with IT to ensure virtual meetings are set up and running appropriately. --- Support new hires with onboarding activities, such as touring the building, getting supplies, etc. --- Support annual off-site meeting for Research and Early Development --- Coordinate catering and meeting setups as appropriate within Company guidelines. --- Assist with supporting large group travel / accommodations within the department --- Lead conference tracking and reporting --- Assist with office management including organizing files in servers --- Assist with ordering and tracking of supplies --- Liaise with Scientists and legal to support request for contracts and changes to agreements including but not limited to Confidentiality and Consulting agreements. --- Appropriately manage information of a highly confidential and critical nature --- Provide back-up support to executive assistants as needed --- Perform other adhoc duties as assigned Qualifications --- College degree preferred with a minimum of 1-3 years related experience required --- Biotechnology or Pharmaceutical Company experience preferred but not required --- This is mostly a onsite position, requiring 3-4 days per week in our Cambridge offices --- Excellent Verbal and written communication skills required --- Exceptional organizational skills and attention to detail --- Ability to maintain a high standard of confidentiality --- Strong follow-up and time management skills with ability to effectively multi-task and a willingness to perform a wide range of tasks. --- Ability to work with minimal supervision and support leaders that work in other locations or remotely. --- Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs. --- Experience working with stakeholders/partners at all levels across the organization. --- Highly proficient in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, Visio).
